Navigating the portal
Who is this article for?
Suppliers who need to understand the Supplier Portal layout.
Supplier Portal access is required.
There are multiple areas of the Supplier Portal, which may include dashboards and grids.
This article outlines the the different elements and explains how to read the information within.
1. Header
The header consists of the following elements:
- Customer site name - View your customer's company name under the "Supplier Portal" text.
- Dashboard - Use the Summary, My Actions, and My Alerts tabs to switch between different views.
- Complaints - View any complaint records your Customer has sent to you.
You may not see all of the Complaints module if your customer has removed it from your user role.
- Assessments - View the pre-assessment, supplier/material full assessment, supplier audit, and supplier corrective action records your customer has sent to you.
- Shipments: The Shipments module will contain the Receiving Records your Customer has sent to you.
You may not see all of the Shipments module if your customer has removed it from your user role.
- Documents - View documents you have uploaded for your customer and upload new versions of document when needed.
- Username - Click the displayed username to update your profile.
- Go to - Move between Supplier Portals you have been invited to, if you have access to more than one.
- Help - Access helpful resources, including the ability to contact our Support team.
- Logout - Log out of the Supplier Portal.
2. Dashboard tabs
2.1. Summary tab
The Summary tab is made up of two dashlets and two grids that provide analyses on your Supplier Portal.
If you are an agent/broker that has connections with manufacturing sites (also known as 'children'), you will see your dashboard populated with information on your child suppliers.
Actions on the Summary tab may not require your personal attention, as they include all actions linked to you and your child suppliers. To find actions that need your attention and completion, go to the My Actions tab.
It consists of the following dashlets:
- Manufacturer Sites - Count of manufacturer sites or child sites related to you.
- Approved Manufacturer Sites - Count of manufacturer sites or child sites related to you that are approved.
- Not Approved Manufacturer Sites - Count of manufacturer sites or child sites related to you that are not approved.
- Materials - Materials - Count of materials related to you (and your child suppliers).
- Approved Materials - Count of materials related to you (and your child suppliers) that are approved.
- Not Approved Materials - Count of materials related to you (and your child suppliers) that are not approved.
- Audits - Audits - Count of supplier audits related to you (and your child suppliers) which have a Next Due date falling within the next 12 months.
- Manufacturers, Materials and Audits Grid - Displays a list of manufacturers (child suppliers) and materials associated with you.
You can filter the grids by clicking the arrow on the right-hand side of the column heading.
Associated manufacturers and archived materials are not displayed in this grid.
- Assessments - Count of open Assessments related to you (and your child suppliers). An assessment refers to pre-assessment records, full assessment supplier records, and full assessment material records.
- Assessments Overdue - Count of open Assessments related to you (and your child suppliers) that are overdue.
- Suppliers CA's Open - Count of open supplier corrective actions related to you (and your child suppliers).
- Suppliers CA's Overdue - Count of open supplier corrective actions related to you (and your child suppliers) which are overdue.
- Significant Risk Suppliers CA's Overdue - Count of open supplier corrective actions related to you (and your child suppliers) which are overdue and of Significant risk (Medium or High).
- Audits Open - Count of open audits related to you (and your child suppliers).
- Assessments, Corrective Actions, and Audits Grid - List of assessments, supplier corrective actions, and supplier audits associated with you (and your child suppliers) which are open.
You can filter the grids by clicking the arrow on the right-hand side of the column heading.
2.2. My Actions tab
The My Actions tab includes three dashlets with action analytics and a grid below showing your actions, accessible by clicking their record names.
It consists of the following elements:
- My Actions Volume - Shows you how many open actions are currently assigned to you, how many of those are overdue, and how many are considered Significant (Medium or High risk).
- My Open Actions by Module - Shows you how many open actions are currently assigned to you per module.
- My Overdue Actions by Module - Shows you how many overdue actions are currently assigned to you per module.
- Search - Search for an action by its name.
- My Actions Grid - Contains records that are currently assigned to you.
2.3. My Alerts tab
The My Alerts tab consists of the following elements:
- Category - Lists the name of the record the alert fired from. Click the name to access the record quickly.
- Description - Shows the description from the alert fired.
- Date/Time - Shows details of when the alert fired.
- Remove (Minus icon) - Remove the alert once you have read it.
If you do not remove the alert, it will stay within the My Alerts tab. Removing alerts once read can help to organise your information.
3. Actions in modules
You can access completed records and open actions at any time, even when they are not in your My Actions tab as the responsibility is currently not yours, by navigating to the individual modules.
