Completing a supplier corrective action

Supplier Portal users who need to respond to supplier corrective actions.
Edit access to the supplier corrective actions are required.
In some cases, your customer might ask you to respond to a supplier corrective action record.
There are multiple stages to a corrective action record, however, you will only need to complete a few specific workflow stages. The remaining workflow stages will be completed by your customer.
This article outlines how to complete these.
1. Accessing corrective actions
1.1. Email alert
To access supplier corrective action records, click the View Record button in the email alert.
1.2. Main dashboard
To access supplier corrective action records, switch to the My Actions tab on the main dashboard.
The corrective action record will open on the Corrective Action Response workflow stage when accessed by you. This workflow stage gives you the opportunity to respond to the corrective action raised by your customer.
2. Completing corrective actions
- Investigation/Root Cause Analysis - Enter details of the investigation you conducted concerning the corrective action.
- Corrective Action - Enter details of the activities you have taken to correct the situation.
- Preventive Action - Enter details of the preventive actions that will prevent the issue from re-occurring.
- Completion Date - Shows the date the workflow stage was opened. You can change this date as needed using the date picker.
- Supporting Documents/Add File - Attach a document if your customer has requested you submit one or you would like to provide additional evidence.
There is no ability to preview documents on this screen. All document sizes will be downloaded to your device automatically when you click the blue text.
If the supplier corrective action has been raised from a document within a doclist of a pre-assessment or full assessment record, and the new file is added here, the new document will then replace the previous version of the document. You will only be able to add one supporting document in this scenario.
- Save - Save your progress to keep the information entered without returning the record. Your customer's primary/secondary assessor will not receive an alert at this stage.

Save & Submit - Send your corrective action response to your customer. Your customer's primary/secondary assessor will receive an alert that you have sent back your record for review.
Only click this button once you have fully completed all sections within this stage!
The corrective action record will be removed from your My Actions tab once returned and won’t be accessible there unless your customer sends it back for changes. However, you can always access it in the Assessment module, even if no changes are needed.
- Cancel - Discard the information added and exit the record.
3. Receiving a response
Once you have submitted your corrective action response, your customer will review said response. There are two possible scenarios:
- Your customer accepts your response and closes the supplier corrective action. No further action is needed from you.
- Your customer requests further details from you and you will need to provide a response. As before, you will receive an email alert letting you know.
4. Providing a response
To provide a response, access the record the same as before.
You will be taken to the record, which will be opened on the Additional Information workflow stage. This workflow stage gives you the opportunity to provide the details requested by your customer.
- Report - Enter additional information concerning the corrective action.
- Supporting Document/Add File - Attach a document if your customer has requested you submit one or you would like to provide additional evidence.
If the supplier corrective action has been raised from a document within a doclist of a pre-assessment or full assessment record, and the new file is added here, the new document will then replace the previous version of the document. You will only be able to add one supporting document in this scenario.
